Supplier Code of Conduct
Supplier Code of Conduct (TEMPLATE — in-depth)
EduHub requires Suppliers to meet baseline standards to protect Schools and maintain quality. By listing you agree to the following:
6.1 Legal & Administrative Requirements
-
Be a legally registered business and comply with tax registration (SARS) and VAT where applicable. Provide company registration / ID and tax details on onboarding.
-
Maintain required licences and approvals for your service (e.g., catering: health and food safety certificates; transport: valid permits; construction: contractor certification).
6.2 Quality & Safety
-
Provide goods and services that are safe, fit-for-purpose, and of the quality reasonably expected.
-
For food/catering: comply with local health department regulations; maintain food safety, allergen labelling and hygiene practices.
-
For security and construction: comply with occupational health & safety standards.
6.3 Child Protection & Safeguarding
-
Suppliers and their staff who will interact with minors must follow child protection safeguards. Suppliers must not behave in a manner that endangers children; background checks are recommended where Supplier staff will have unsupervised access to learners.
6.4 Accurate Listings & Pricing
-
Keep product/service descriptions, images, prices and delivery estimates accurate. Notify EduHub immediately of changes.
-
Do not knowingly misrepresent credentials, references, or testimonials.
6.5 Ethical Conduct & Non-Discrimination
-
Do not engage in corrupt practices (bribery, kickbacks). Comply with public-sector procurement rules where applicable.
-
Treat all Schools equitably and avoid discriminatory pricing.
6.6 Insurance & Indemnity
-
Maintain appropriate public liability and professional indemnity insurance where services present risk (events, construction, catering). EduHub may request proof of insurance for high-risk categories.
-
Indemnify Schools and EduHub from Supplier acts/omissions arising from negligence or breach.
6.7 Data Protection & Confidentiality
-
Process personal information only for the purposes provided and in compliance with POPIA. Maintain confidentiality of School data and do not use contact lists for unrelated marketing without consent.
6.8 Remedial Actions & Enforcement
-
EduHub may warn, suspend or remove Suppliers for breaches of this Code. Severe or repeated breaches may result in permanent removal and reporting to authorities.
